Direct Print & Mail Solutions Limited respects your privacy and takes the protection of personal information seriously.

This privacy statement explains what information we collect, why we collect it, how we use and share it and your rights under the New Zealand Privacy Act 2020.

1. Information We Collect

We may collect personal information when you:

• create an account
• request a quote
• contact us
• upload artwork or other files
• use our website, pricing tools or online services

This may include:

• your name
• company name
• email address
• phone number
• billing and delivery addresses
• account and order information
• correspondence with us
• artwork, production files and other information you provide
• payment-related information
• information about how you use our website

For direct mail, fulfilment and variable-data work, we may also receive personal information about other people from our customers, such as names, postal addresses or other data required to complete the job.

2. How We Use Your Information

We may use your information to:

• prepare quotes and pricing
• process and fulfil orders
• manufacture, personalise and deliver printed products
• provide direct mail, fulfilment and related services
• communicate with you about your orders or account
• provide customer support
• process payments and maintain accounting records
• improve our products, services, pricing tools and website

If information is necessary for us to provide a service and you choose not to provide it, we may not be able to complete your order or request.

3. Customer-Supplied Data and Direct Mail

Some of our services require customers to provide information about other people, such as names and postal addresses contained in mailing databases.

We process this information on behalf of our customers and use it only as required to complete the requested work. This may include:

• data processing and preparation
• variable-data printing
• addressing and personalisation
• sorting and mail preparation
• lodging mail with NZ Post or other delivery providers

We do not use customer-supplied mailing databases for our own marketing purposes.

Customers are responsible for ensuring they have the authority or lawful basis to provide personal information to us for processing.

We take reasonable steps to protect customer data while it is in our possession and retain it only for as long as reasonably required for production, support, record-keeping or other legitimate business purposes.

4. Artwork and Production Files

We may retain artwork, print files, proofs and production information after an order has been completed.

This allows us to assist with reprints, resolve production issues, maintain appropriate business records and provide ongoing customer support.

Files containing personal information may be deleted when they are no longer reasonably required.

5. Payments

Online payments are processed using third-party payment providers, including Stripe.

Payment card details are processed securely by the payment provider and we do not store your full payment card details on our servers.

6. Who We Share Information With

We do not sell or rent personal information.

We may share information with trusted third parties where reasonably necessary to operate our business or provide your order, including:

• NZ Post and other postal providers
• courier and freight companies
• payment processors
• website, hosting, software and IT providers
• production partners, contractors or suppliers where required to complete a job
• professional advisers
• regulators or government authorities where required by law

We aim to provide these parties only with the information reasonably required for the service they are performing.

Some technology providers may store or process information outside New Zealand. Where this occurs, we take reasonable steps to ensure personal information is handled appropriately.

7. Website Usage, Analytics and Cookies

We use cookies and similar technologies to operate our website, understand how visitors use it and improve our online ordering and pricing experience.

When you use our website, we may collect information such as:

• pages visited and the time of each visit
• how you arrived at our website, such as through a search engine, advertising campaign or referring website
• approximate location, such as city and country, derived from your IP address
• browser and device information
• product configurations and pricing calculations you perform, including stock, size, quantity and finishing options

This information helps us understand how customers use our website and pricing tools, which products and options are most relevant and where we can improve usability, pricing and our product range.

If you place an order, website and pricing activity associated with your visit may be linked with your order record to help us understand the purchasing journey and improve our services.

We also use Google Analytics for aggregated website usage reporting and to understand overall traffic and website performance.

We do not currently use Google Analytics for remarketing.

We do not sell or rent website analytics information.

Anonymous website visitor records used by our own systems are generally deleted after 90 days.

You can control or block cookies using your browser settings, although doing so may affect some website functionality.

8. Marketing Communications

If you choose to subscribe to marketing communications, we may use your contact details to send occasional information such as print tips, product updates, deadline reminders, offers or useful guides.

You can unsubscribe from marketing emails at any time using the unsubscribe link in the email or by contacting us.

We may still contact you about active orders, quotes, accounts or other service-related matters.

9. Data Security

We take reasonable technical and organisational measures to protect personal information against:

• unauthorised access
• loss
• misuse
• alteration
• disclosure
• destruction

Because some print and direct mail jobs contain customer-supplied personal information, access to job data is limited to people and systems that reasonably require it to complete the work.

No method of electronic storage or transmission is completely secure, but we take reasonable precautions appropriate to the information we handle.

10. How Long We Keep Information

We keep personal information only for as long as reasonably required for:

• the purpose for which it was collected
• providing our services
• customer support
• reprints or order history
• business and accounting records
• resolving disputes
• meeting legal obligations

Different types of information may therefore be retained for different periods.

11. Your Privacy Rights

Under the New Zealand Privacy Act 2020, you have the right to ask us for access to personal information we hold about you and to ask us to correct information you believe is inaccurate.

You may also ask us to delete personal information we hold about you. We will consider deletion requests where appropriate, although we may need to retain certain information for legal, accounting, contractual or legitimate business purposes.

12. Privacy Breaches

If a privacy breach occurs that is likely to cause serious harm, we will take appropriate steps in accordance with our obligations under the Privacy Act 2020, including notifying affected individuals and the Office of the Privacy Commissioner where required.
